App sharing issues

Use this article when someone can’t see an app, loses access, or sees unexpected sharing behavior. It covers the most common app-sharing problems and the quickest way to fix them.

Applies to: app sharing, access levels, viewer access, seat charges, and unpublished app changes.

"I shared an app but they can't see it"

  1. Check whether the invite was accepted. Open the app’s sharing panel and look for the person in the Invited section. If they have not accepted yet, resend the invite.

  2. Check their access level. Make sure they have the right role: Editor or Viewer.

  3. Check the general access setting. If the app is set to Only invited team members, the person must be explicitly invited. If the app should be available to your workspace, change the setting to Only [workspace] team members.

"Viewer access expired"

Free users get 30 days of viewer access per app. After that, they see a prompt to upgrade and cannot be re-invited as a free viewer.

  • They can upgrade to a paid plan.

  • You can switch to a team plan and add them as a member.

"They see a 'Request Access' page"

This means the person does not have access. They can send you a request from that page, but you still need to explicitly invite them or change the general access setting.

"I want to remove someone's access"

Open the app’s sharing panel, find the person in the members list, and click the remove (x) button.

"I'm being charged for a new seat"

When you invite someone new to an app and they are not already a workspace member, they are added to the workspace. On paid plans, that adds a seat. Play shows the cost before you confirm the invite.

"Changes I made aren't showing for my team"

App changes do not go live automatically. You need to upgrade the app to push the new version. Your team sees the last version you published, not your current editing session.
